I. General Provisions

The assistant to the head of the enterprise is appointed to the position by order of the head of the enterprise.
Reported to the head of the enterprise.
The purpose of the activity: assistance to the manager on certain issues of the enterprise and the creation of conditions that ensure maximum efficiency of the manager's work.
Qualification requirements:

incomplete or complete higher education;
work experience of at least __ years;
ability to work on a computer at the user level.

The Assistant Manager must know:

the policy and goals of the enterprise;
resolutions, orders, orders, regulations, instructions and other guidance materials and regulatory documents on the activities of the enterprise;
the structure and management of the enterprise and its divisions;
established standards, norms, rules, methods and procedures relating to certain types of activities with the help of the head of the enterprise in his work;
rules for the use of reception and communication devices, technical means for processing documents, oral and written documentary information, computers and related software;
standards of the system of organizational and administrative documentation;
ethical principles and rules of business communication;
fundamentals of administrative law, labor legislation, as well as other specialized legislation (in the case of specialization in certain types of activities outside the scope of administrative functions).

II. Official duties

Assistant to the head of the enterprise:

Carries out control over the timely execution of issued orders and instructions by the employees of the enterprise; develops methods of such control and keeps records of the execution of orders, instructions and instructions of the head of the enterprise.
Plans the working day of the head of the enterprise (meetings, phone calls, etc.).
Provides technical support for the activities of the head of the enterprise (ordering transport, organizing meetings, negotiations, etc.).
Carries out short-term business trips at the direction of the head of the enterprise to resolve certain issues.
Accompanies the head of the enterprise at meetings and on business trips.
Participates in negotiations, business meetings, special receptions; keeps minutes and draws up the necessary documents based on the results of meetings, negotiations.
Maintains contact with other organizations and enterprises, as well as government agencies and resolves cases that do not require the personal presence of the head of the enterprise.
On behalf of the head of the enterprise, he coordinates or resolves certain issues with the heads and employees of structural divisions, controls the fulfillment by them of individual assignments and orders of the head of the enterprise, and also receives the necessary information and materials from them.
Within its competence, prepares draft orders, decisions and orders of the head of the enterprise, as well as, on behalf of the head of the enterprise, other materials and documents related to the activities of the enterprise.
Collects and receives materials and information from various external sources, necessary for the head of the enterprise, and also provides its analysis; reports the results of such analysis to the head of the enterprise.
Organizes office work, studies the received correspondence addressed to the head of the enterprise, prepares draft answers or decisions within its competence.
Make an appointment with the head of the enterprise and organize the reception of visitors.
Carries out separate instructions of the head of the enterprise for personnel management, exercises control over the work of individual employees.
Performs other duties and instructions of the head of the enterprise within the framework of his competence and specialization in additional individual activities.

III. Rights

The assistant to the head of the enterprise has the right to:

Determine priorities in the relationship of the head of the enterprise with individual employees, officials of other organizations, visitors.
Approval and sign certain categories of documents related to his competence.
Get acquainted with the documents that define his rights and obligations, as well as the criteria for the quality of his work.
Request and receive from the structural divisions of the enterprise, as well as from other organizations (within its competence) various materials, certificates, information and documents.
Prepare draft decisions and individual documents within its competence.
Within the framework of its competence and authority, answer telephone calls addressed to the head of the enterprise in order to effectively use his working time.
Make suggestions to the head of the enterprise to improve the efficiency and quality of their work.

IV. A responsibility

The Assistant Manager is responsible for:

For poor-quality and untimely execution of orders of the head of the enterprise.
For the inaccuracy, unreliability and unfoundedness of the prepared reports based on the results of the analysis of various documents and other materials.
For material damage delivered to the enterprise as a result of one's own fault in accordance with the current legislation of Ukraine.
For non-compliance with the Internal Regulations and the Regulations on the commercial secret of the enterprise.
