I. General Provisions

  1. Warehouse Operations Coordinator (hereinafter referred to as the Coordinator) belongs to the category of managers.
  2. A person who meets the following qualification requirements is appointed to the position of coordinator:
  • professional education;
  • special training in the management of workers.
  1. The warehouse coordinator must have organizational skills, consistency, analytical skills, the ability to work independently, a high level of general culture, and flexibility in communicating with people.
  2. Appointment to the position and dismissal from it is carried out by order of the director of the warehouse complex _______ on the proposal of the Manager for warehouse operations and work with clients.
  3. The coordinator must know:
  • labor law;
  • fundamentals of a market economy, entrepreneurship and business;
  • structure and staff of the enterprise, profile, specialization and prospects for its development;
  • the main technological processes of the enterprise, internal procedures _______ and the client, the conditions for storing goods in a warehouse;
  • personnel policy and strategy of the enterprise;
  • fundamentals of general and special psychology, sociology and labor psychology;
  • methods for assessing the strengths and weaknesses of subordinate employees;
  • quality and time standards for each type of work;
  • ethics of business communication;
  • methods for solving organizational, managerial and personnel tasks;
  • methods of information processing using modern technical means of communication and communications, computers;
  • rules of internal labor regulations;
  • rules and norms of labor protection;
  • the history and culture of the Company;
  • this Instruction.
  1. The Coordinator reports directly to the Warehouse and Account Manager.
  2. The Coordinator is subordinate to foremen, teams of warehouse workers.
  3. During the absence of the Coordinator for more than 1 day (illness, vacation, etc.), his duties are performed by a person appointed by the order of the director of the warehouse complex on the proposal of the Manager for warehouse operations and work with clients.

II. Official duties

  1. Organizes the production process (loading and unloading operations, maintaining warehouse documentation) at the warehouse site in accordance with quality procedures, work standards, internal procedures of _______ and the client:
  • organizes, ensures and controls the correct passage of the process of loading and unloading operations of the warehouse area;
  • takes part in daily meetings of coordinators who determine the most priority types of work for the entire warehouse complex and for each warehouse section per shift;
  • controls the observance of the work schedule, the placement of personnel in accordance with the staffing table, the implementation of specific amounts of work in accordance with the established work quality standards;
  • controls the use of people, equipment at the disposal of the foremen;
  • checks the provision of employees with material, technical, information resources necessary to fulfill the duties assigned to employees, takes measures to prevent downtime, accidents, temporary work stoppages;
  • controls the condition of loading and unloading equipment and the rationality of its use;
  • controls the conduct of intra-warehouse movements of the product;
  • controls the maintenance of work logs (transfers of shifts and the use of loaders);
  • organizes and controls product inspections in the warehouse;
  • organizes internal inventories and inventories conducted by the client.
  1. Controls the quality of work:
  • controls the correct execution of the Procedures, Job Descriptions, Work Methods used in the process of the warehouse operation;
  • takes part in the development of new Procedures, Job Descriptions, Work Methods used in the process of warehouse operation;
  • makes proposals that help optimize warehouse processes and improve the quality of services provided to the client;
  • reports all inconsistencies to the Services responsible for their elimination, maintains the necessary documentation;
  • prepares reports on the quality of work performed by subordinate employees, on the fulfillment of the volume of tasks, on the reasons that led to the disruption of the plans and the persons responsible for this, and submits them to a higher manager.
  1. Managing staff:
  • supervises compliance with the Safety precautions and the Internal Labor Regulations at the warehouse area entrusted to him;
  • rationally distributes responsibilities between the brigades of the warehouse area. Brings to the attention of the foremen the tasks assigned to them; checks the readiness of employees of the brigade to solve the tasks; distributes work areas between teams;
  • corrects the work of personnel, assigns employees to perform certain work in the event of unplanned or non-standard situations, in case of failures in the general work procedure;
  • organizes (if necessary) the interchangeability of employees;
  • determines the priorities and sequence of work tasks for the brigades of the warehouse area;
  • monitors compliance with the discipline of employees of the warehouse area;
  • takes measures to prevent and eliminate conflict situations in the team entrusted to him;
  • evaluates the loyalty and balance of employees, determines the degree of trust in employees;
  • monitors the professional behavior of employees; indicates to foremen the mistakes of workers and warns of the need to eliminate them;
  • makes a decision to suspend the performance of work, replace employees in case of occurrence of cases that may lead to adverse consequences for the enterprise, does not allow employees who are in a state leading to the same consequences (drunk state, illness, etc.) to work;
  • determines the possibility and methods of applying the system of incentives and penalties adopted at the enterprise;
  • talks with employees of the warehouse area, finds out the reasons for unsatisfactory work and, together with employees, determines options for resolving corporate and personal issues;
  • constantly transfers his knowledge and experience to foremen of the warehouse site;
  • requests additional production training and organizes personal mentoring (patronage) for lagging employees if the latter are unable to independently cope with the tasks assigned to them, and in case of unsatisfactory results of training, sends representations to the management of the enterprise for the dismissal of employees for inconsistency with the position held (work performed);
  • helps the adaptation of new employees of the warehouse area;
  • evaluates the training needs of the warehouse staff entrusted to him;
  • ensures the interconnection of the team subordinate to him with other divisions of the enterprise (accounting, personnel department, etc.);
  • draws up reports on the readiness of each individual employee to perform certain tasks, on the results achieved by employees.
  1. Informs the team about the orders of higher management, changes in personnel policy, and enterprise development projects.
  2. Provides the required reports to the manager. Monthly reports:
  • updated production plan for the work of the site (calculation of the necessary technical resources, personnel, warehouse space);
  • report on the work performed, resources expended and productivity;
  • report on site personnel;
  • report on the quality of the warehouse (cleanliness, safety of equipment, claims, measures taken).

III. Rights

The coordinator has the right:

  1. Access to the personal files of subordinate employees.
  2. Sign and endorse documents within their competence.
  3. To take part in the development and coordination of production plans of the enterprise, plans for restructuring the structure of the activities of the enterprise's divisions.
  4. Conduct meetings with staff members to discuss their suitability in connection with changes in the production policy of the enterprise.
  5. Require the management of the relevant departments of the enterprise to timely provide everything necessary for the normal work of subordinate employees.
  6. Require information from the accounting department or other financial and accounting departments on the terms of remuneration, accrued wages and other financial issues.
  7. Submit proposals to the management of the enterprise on the imposition of disciplinary sanctions on individual employees for failure to fulfill their duties, violation of labor and corporate discipline; incentives for outstanding employees.
  8. Get acquainted with the documents that define his rights and obligations in his position, the criteria for assessing the quality of performance of official duties.
  9. Require the management of the enterprise to ensure the organizational and technical conditions and execution of the established documents necessary for the performance of official duties.

IV. A responsibility

The coordinator is responsible for:

  1. For improper performance or non-performance of their official duties provided for by this Job Description - within the limits determined by the current labor legislation of Ukraine.
  2. For offenses committed in the course of carrying out their activities - within the limits determined by the current administrative, criminal and civil legislation of Ukraine.
  3. For causing material damage - within the limits determined by the current labor and civil legislation of Ukraine.
  4. For strict observance of the Procedures, Job Descriptions, Working Methods in the warehouse area entrusted to him.
  5. For maintaining the confidentiality of information that became known in the course of performing their duties.
  6. For coordinating the work of the warehouse department.
  7. For the timely transfer of all necessary information to their direct management.
  8. For the elimination of inconsistencies found in the functioning of the warehouse area.
