I. General Provisions

  1. Warehouse Operations and Customer Relations Manager belongs to the category of managers.
  2. A person who satisfies the following qualification requirements is appointed to the position of manager for warehouse operations and work with clients: higher professional education and work experience as a manager for warehouse operations and work with clients for at least 1 year.
  3. Appointment to the position and dismissal from it is carried out by order of the director of the warehouse complex.
  4. The Warehouse and Customer Relations Manager should know:
  • regulatory and methodological materials on the organization of storage facilities;
  • standards and technical conditions for the storage of inventory items;
  • types, sizes, brands, grade and other qualitative characteristics of inventory items;
  • organization of loading and unloading operations;
  • rules and procedures for the storage and warehousing of inventory items, provisions and instructions for their accounting;
  • terms of contracts with customers for the receipt, storage and transportation of goods;
  • payment procedure for services rendered and work performed;
  • rules for the operation of computer technology, communications and communications;
  • fundamentals of economics, organization of production, labor and management;
  • fundamentals of labor legislation;
  • rules of internal labor regulations;
  • rules and norms of labor protection, safety precautions, industrial sanitation and fire protection;
  • the history and culture of the Company;
  • this Instruction.
  1. The Warehouse Operations and Customer Relations Manager reports directly to the director of the warehouse complex _______.
  2. The manager for warehouse operations and work with clients is subordinate to the warehouse service, foremen (coordinators) of all warehouse sections, and warehouse workers.
  3. During the absence of the manager for warehouse operations and work with clients for more than 1 day (illness, vacation, business trip, etc.), his duties are performed by a person appointed by order of the director of the warehouse complex, on the proposal of the manager for warehouse operations and work with clients. This person acquires the appropriate rights and is responsible for the high-quality and timely performance of the duties assigned to him.

II. Official duties

  1. Organizes and coordinates warehouse work:
  • manages the work of the warehouse for the receipt, storage and shipment of inventory items, for their placement, taking into account the most rational use of storage space, facilitating and accelerating the search for the necessary materials, inventory, etc.;
  • organizes loading and unloading operations at the warehouse in compliance with the rules of labor protection, safety, industrial sanitation and fire protection;
  • ensures the safety of stored inventory items, compliance with storage regimes, rules for processing income and expenditure documents;
  • controls the quality of work performed in the warehouse - order picking, loading and all other operations related to customer service (for example, sorting, loading errors, delays, etc.).
  1. Supervises warehouse workers
  • ensures proper training and education of personnel, its polyvalence;
  • regularly informs employees about all the internal activities of the company and the work carried out by the division through memos, stands, etc.;
  • provides general and individual management of the unit (remuneration, hiring, days off, material assistance);
  • monitors the observance by the employees of the division of the internal labor regulations and the maintenance of a positive social climate inside and outside the division;
  • ensures adequate application of corporate rules and ethics;
  • meets the expectations of employees in terms of providing information, mutual respect, development, gratitude, etc.;
  • ensures good integration of new employees.
  1. Controls the efficiency of warehouse work:
  • plans expenses for the implementation of core activities, correlating needs with opportunities;
  • optimizes the tasks performed by carefully monitoring the effectiveness of each production team individually;
  • takes part in the development and implementation of measures to improve the efficiency of warehouse operations, reduce the cost of loading and unloading operations and storage of inventory items, the introduction of modern computer technology, communications and communications into the organization of warehouse management.
  1. Controls compliance with safety, cleanliness, operation of premises and other facilities of the warehouse complex:
  • monitors compliance with the requirements of the internal labor regulations, the rules for managing electric forklifts and working with pallets;
  • controls compliance with the requirements for the use of premises (lack of barriers for emergency and fire exits, placement of equipment);
  • checks the condition of racks and materials;
  • monitors the proper functioning of fire-fighting equipment in the warehouse in terms of safety, monitors the condition of the premises, equipment and inventory in the warehouse and organizes their preventive maintenance and timely repairs;
  • controls the temperature and humidity levels in warehouses in accordance with customer requirements.
  1. Controls the accounting of warehouse operations, as well as the completeness and compliance of invoices issued to the client, especially in the case of providing the client with special logistics services.
  2. Controls and manages the warehouse service budget:
  • makes calculations of the profitability of customers;
  • controls the costs for the functioning of the warehouse service (electricity, air conditioning, etc.);
  • negotiates with customers of the warehouse complex _______ and their representatives on all issues related to the quality of services provided, settlement of complaints, compliance with the articles of the contract, etc.;
  • organizes and coordinates procedures for the implementation of quality control and customer requirements;
  • guarantees to the client the observance of the clauses of the contract and the confidentiality of information;
  • ensures the implementation and proper conduct of the necessary inventories, as well as the analysis of the results together with clients within the time limits strictly defined by both parties;
  • controls the settlement of claims together with foremen (coordinators);
  • takes part in the development of solutions adapted to customer requirements.
  1. Participates in the development of new commercial proposals.
  2. Creates a positive image of the company, both inside and outside:
  • - Maintains appropriate sanitary storage conditions for cargo and other infrastructure;
  • - Controls the proper attendance of employees at work and their correct behavior;
  • - Provides optimal storage of goods and equipment;
  • - Ensures the appropriate quality and productivity of work.
  1. Prepares prescribed reports. Monthly:
  • manager's monthly report;
  • updated production planning, taking into account the transfer of personnel and equipment;
  • consolidation of inventory results (for each client, if there are several);
  • pallet report (+/-);
  • cleanliness report;
  • temperature and humidity report;
  • warehouse safety report (accidents and equipment breakdown);
  • expense control report;
  • employee absenteeism report;
  • warehouse occupancy;
  • customer profitability.
  1. Weekly:
  • updated production planning, taking into account human and technical transfers;
  • technical requests for execution;
  • quality results report;
  • performance results report.
  1. Daily:
  • accounting of human resources (compliance with the organigram - forecast / real situation);
  • quality of services per client or per team;
  • performance per client or per team.

III. Rights

Warehouse Operations and Customer Relations Manager has the right to:

  1. Get acquainted with the draft decisions of the company's management regarding the warehouse management of the enterprise.
  2. Submit proposals to improve the warehouse operation for consideration by the management of the enterprise.
  3. Interaction with the heads of all structural divisions of the enterprise.
  4. Sign and endorse documents within their competence.
  5. Make proposals on encouraging distinguished employees, imposing penalties on violators of production and labor discipline.
  6. Require the management of the enterprise to assist in the performance of their duties and rights.

IV. A responsibility

The Warehouse and Customer Relations Manager is responsible for:

  1. For improper performance or non-performance of their official duties provided for by this Job Description - within the limits determined by the current labor legislation of Ukraine.
  2. For offenses committed in the course of carrying out their activities - within the limits determined by the current administrative, criminal and civil legislation of Ukraine.
  3. For causing material damage - within the limits determined by the current labor and civil legislation of Ukraine.
  4. For compliance with the rules of labor protection, safety, industrial sanitation and fire protection, as well as the rules of internal labor regulations when carrying out loading and unloading operations at the warehouse.
  5. For timely informing the Director of the warehouse complex about any changes in the organizational structure and management of the Warehouse Service, if these changes relate to financial aspects, work processes or the social climate.
  6. For the confidentiality of information about the internal functioning of the company, as well as commercial relationships with customers.
