ENCYCLOPEDIA OF RADIO ELECTRONICS AND ELECTRICAL ENGINEERING Program Electronic secretary. Encyclopedia of radio electronics and electrical engineering Encyclopedia of radio electronics and electrical engineering / Telephony In "Radio", No. 2, 1998, it was told about the prefix "Electronic Secretary". This article will discuss the program for this device. A phone with AON "Gamma" and a prefix "Expert" can also work together with a computer running the "Electronic Secretary" program. The software and hardware complex "Electronic Secretary", consisting of a Gamma telephone (or AON set-top boxes), an IBM PC computer and a special program, is a representative of a new direction in information processing technology, called "computer telephony". The "Electronic Secretary" program runs under the Windows 95 and Windows NT operating systems from Microsoft. What are the advantages compared to a conventional phone with caller ID gets the owner of the telephone and computer, using the program "Electronic Secretary"? First of all, the advantage of using the program is the transition from the "undivided realm" of numbers, which can be accessed only through a narrow window of the liquid crystal display - to a much more understandable world of words. Now, if you are called by a subscriber entered in a notebook or database accessible to the program, you will see not only his phone number, but also his first name, last name, and even address. Without a doubt, such information is digested better than just the numbers of your subscriber's phone number. The program keeps a record of all incoming and outgoing phone calls with information about the time, date and duration of each conversation - you can view this data in the form of a list, where all data about the call (unlike phones with caller ID) are visible at the same time. In addition, if there is a record about a subscriber with this phone number in the databases available to the program, then his name will also be indicated in the list. The computer's databases for incoming and outgoing calls are not limited in size. It is not necessary for the computer to be constantly running to process messages. The phone will store information about incoming calls in its memory and, after turning on the computer, will transfer them to be entered into the program database. Thanks to the program, you will be able to store your phone book in full on your computer with all the data and notes related to your subscriber. You can open the program notebook on any letter of the alphabet. Additionally, the program will provide you with the ability to search for data in a notebook using a given template. Having found the necessary subscriber, you can start automatic dialing of his phone number, and the program will do it (naturally, without errors). Fifty telephone numbers of subscribers selected by you, for which selection will be made according to the "black" and "white" lists, you can save to the phone's memory. Depending on the set mode, selection by lists means either automatic hangup for subscribers included in the "black" list, or automatic hangup for all subscribers, except for those included in the "white" list. In addition to the address book, the program allows you to connect databases on subscribers that have an almost unlimited size, for example, a complete phone book for the city. This can be extremely useful when used in reference, emergency and dispatch services. Almost instantaneous receipt of information about the subscriber in this case will eliminate errors in decision-making. Additionally, the program automatically documents information about each call to the dispatch service. Thanks to this, it becomes possible to statistically analyze requests according to various criteria and receive reports on the operation of the service. The program also supports such an uncharacteristic common phones with caller ID, but very useful feature, like automatic dialing by a group of phone numbers. This feature makes it easier to dial large companies that have PBXs connected to multiple phone lines. As a rule, most of these lines are busy, in order to get through, it is necessary to make a tedious enumeration of the entire list of company telephone numbers. The program will do this automatically, without your participation. Another argument in favor of the "Electronic Secretary" is that only with this program you can fully use the possibilities inherent in the telephone set "Gamma"'. If there is a connection with a computer, the device, thanks to the use of a microcontroller with built-in ADC and DAC, provides digital recording and playback of voice messages. Such opportunities are currently unique and are not implemented by other devices with caller ID. Since the digitization of voice messages requires a large amount of memory, the implementation of these functions is possible only when working together with a computer. The introduction into the telephone set of memory sufficient for storing voice messages would lead to an unjustified increase in its price. It should be noted that for recording and playback of messages, it is not necessary to have a sound card and a microphone in the computer. These operations can be performed using the telephone set. One of the applications of the described functions can be automatic documentation of all telephone conversations. Documentation can be extremely useful in the operation of dispatch and emergency services, as well as in some other cases. With the help of the program, you can turn your phone into an answering machine with advanced features. Now you can record different messages for different subscribers or groups of subscribers. The choice of this or that message is made by the program according to the phone number of the caller. After reviewing the list, you selectively play the received messages, listen to all messages in a row in quick review mode (the initial parts of messages of a given duration), or listen to the entire sequence of messages, as in a normal answering machine. A feature of the program in the autoresponder mode is also remote control of its action. You can call your "electronic secretary" and, controlling it with tone dialing signals, listen to messages received during your absence or record a new message on the answering machine. In addition to the usual functions of an answering machine, the "Electronic Secretary" system provides the functions of an autoinformer and an autoannunciator. The scope of such capabilities extends from automatically notifying employees of an upcoming meeting and sending messages to customers about the due date for payment for services to notifying industrial enterprises and municipal services about emergencies. Combining the functions of playback and recording of speech provides the possibility of automated conduct of sociological surveys by telephone. Autoinformer functions will find application in help systems of firms that provide customers with background information about a company or organization. The autoinformer can operate around the clock and does not require the presence of service personnel. Additional features are provided by the scheduler of cases and phone calls included in the program. The scheduler will remind you in time of the need to call a certain subscriber, etc. On the basis of the scheduler, you can implement automatic distribution of voice messages to various subscribers at a specified time. To ensure the documentation of the work of the "Electronic Secretary" system, it is possible to print reports on the results of work and the content of databases (for example, printing out the contents of a notebook, information on incoming and outgoing calls per day, week, month, protocols of work in the mode of autoinformer and autoannunciator, etc. d.). The program is also equipped with an electronic directory of long-distance and international communication codes with the ability to search by the name of the settlement or by its long-distance code. Now you do not need to look for a telephone directory to call another city - it will always be at your fingertips. Solving the inverse problem - determining the name of the settlement by its code in the bill for long-distance telephone conversations - will also not be difficult for you. In order to start using the program, you do not need to call a specialist. Simply install the program on your computer, following the instructions that come with it, and connect the cable to the telephone set and the computer's serial port. Literature
